Reporting Line
Reports to: Management / Director
Works with: External accountants, auditors, tax agent, company secretary
Role Purpose
Own the company’s day-to-day finance operations: payroll, statutory contributions, Accounts Payable/Accounts Receivable tracking, claims, document control, and clean records—so Management gets reliable monthly numbers and external advisors can close accounts fast.
Key Responsibilities
- A) Monthly Close & External Liaison
- Coordinate accounting, audit, and tax queries with external consultants/auditors/tax agents/co-sec
- Ensure timely closure of monthly management accounts (supporting schedules + explanations)
- Maintain audit-ready documentation and clean finance filing
- B) Payroll & Statutory
- Process monthly payroll accurately and on time
- Prepare and submit statutory contributions on time (EPF/SOCSO/EIS/PCB, where applicable)
- Maintain up-to-date payroll files (new joiners, exits, allowances, deductions, claims treatment)
- C) Payables, Receivables & Cashflow Discipline
- Verify supplier/subcontractor invoices; ensure approvals and proper documentation
- Manage payment scheduling and basic cashflow tracking (what must be paid, by when)
- Track receivables; issue invoices (if needed), follow up collections, maintain AR ageing
- D) Claims & Controls
- Verify and process staff claims (invoice/receipt accuracy + policy compliance)
- Maintain petty cash / reimbursements with proper support
- Keep vendor/subcontractor records and professional working relationships
- E) Systems & Admin Support (Finance-side)
- Maintain transaction hygiene across Xero / SQL Account / Excel trackers
- Improve finance templates: payment tracker, claims log, cashflow sheet, AP/AR ageing
- Any other ad-hoc tasks from Management
Requirements
- Diploma/Degree in Finance/Accounting/Business (or equivalent)
- Working knowledge of Xero, SQL Account (or similar), and strong Excel
- Comfortable chasing follow-ups (vendors, staff claims, outstanding payments)
- High attention to detail and documentation
