Job Description

We are seeking a highly organized and proactive Admin Assistant to provide crucial support to our Parts Controller. This role is the backbone of our workshop’s operational efficiency, ensuring our technicians have the right parts at the right time to deliver unparalleled service to our clients. Key Responsibilities:

  • Purchasing Support: Assist the Parts Controller in processing purchase orders for automotive parts and supplies from local and international vendors.

  • Inventory Management: Help maintain accurate stock levels by performing regular stock checks and updating the inventory management system.

  • Vendor Coordination: Liaise with suppliers to check part availability, confirm pricing, and track order deliveries.

  • Documentation & Administration: Ensure all purchasing documents, delivery orders, and invoices are accurately filed and processed.

  • Communication Bridge: Work closely with the workshop team to communicate parts availability and expected delivery timelines, minimizing vehicle downtime.

  • Quality Assurance: Assist in verifying the correctness and quality of parts received against purchase orders.

Who We Are Looking For:

  • Diploma/Degree in Business Administration, Supply Chain Management, or a related field.

  • Fresh graduates are encouraged to apply; on-the-job training will be provided.

  • Strong organizational skills with a keen eye for detail.

  • Proficiency in Microsoft Office applications (especially Excel and Word).

  • Good communication skills in Bahasa Malaysia; basic English is an advantage.

  • A positive, willing-to-learn attitude and the ability to work effectively in a team.
